“We already paid this.”
The money has arrived, but the invoice still shows an open balance. Now your customer is digging up proof of payment while your team works out what happened.
A customer who already paid shouldn’t have to help you reconcile the payment.
That friction can start before payment, too. A customer can be ready to pay while an invoice waits for a portal submission or a document request goes unanswered. Tesorio’s agents handle those next steps within the rules finance sets.
An invoice marked “sent” can still be waiting
Your ERP says the invoice was sent, but the customer requires it in a procurement portal. Until it’s submitted there, the customer may have nothing to approve.
Tesorio’s Supplier Portals Agent submits invoices through supported portals such as Coupa and Ariba, including the required invoice information and attachments. It confirms submission and checks for approval updates and payment dates, bringing that status back into Tesorio.
Finance can see whether the invoice has reached the customer’s approval process, rather than relying on a “sent” status in its own system.
A missing PDF becomes another round of emails
AP needs another copy of the invoice before they can process it. Tesorio’s Collections Agent can fetch the PDF and attach it to a response. Your settings determine whether a person reviews the response or the agent sends it automatically.
Teams can also provide documents such as a W-9, with instructions describing when the agent should use each file.
Put the promised date where the team can see it
A customer says they’ll pay on Friday. If that date stays in one inbox, the next person reviewing the account has to find the reply before they know what was agreed.
With automatic promise-to-pay updates enabled, the Collections Agent extracts the committed date and records it in Tesorio. The payment is still outstanding, but a colleague can see the commitment before asking the customer for a date again.
Make the balance reflect the payment
For the customer who already paid, the next useful action is to match their payment to the open invoice.
Tesorio’s Cash Application Agent matches incoming payments to open invoices using bank files and remittance information. When auto-posting is enabled, the agent automatically posts payments that meet the confidence threshold. Unmatched payments go to the team for review, with suggested matches.
Keep review where judgment matters
You can give an agent permission to record a payment date and still review every email it prepares. In Tesorio’s collections settings, teams can switch actions off, route them for review, or let them run automatically. They can also apply different settings to different customer segments.
Escalation guidance defines the situations that need human attention, and the agent can create a follow-up task when those conditions are met.
